The personalized e-mail (PMAIL) function, is the most used function in the District and Club database (DaCdb). There are many facets available within this powerful function. First, there are many system templates already available for immediate use. In addition, the users of the PMAIL function are able to save their own templates for future use, such as annoucing that the Club Bulletin or District Newsletter is now available; or encouraging the recipient to register for a district or club Event.

A PMAIL message can be sent to an individual, a committee, all club members, or the entire district (or any sub-set thereof). PMAIL provides the ability to call recipients by their preferred name; targeted to any specific group. And, these personalized e-mails have proven to result in "higher response" rates to your messages.

Each personalized e-mail (PMAIL) is sent to the recipient, as an individually addressed e-mail message...thus eliminating those "long lists" of other addressees in the header of your message. Clubs use PMAIL to keep their members informed of recent club activities, proposing and acceptance of new members, and how to log in and check their own member information in the District and Club database.

In addition, PMAIL is used by the Weekly Attendance module to automatically send a "MISSED YOU" message to those active members that were absent. Also, the system automatically sends a "WELCOME" letter to new members, and a "THANK YOU" letter to their sponsor, whenever a club secretary adds a new member to the database.

Committees also use the PMAIL functions to easily keep all the committee members informed of their activities. And because the PMAIL function uses the e-mail address in member's record throughout the system, it is only necessary to maintain one record with this critical "contact information".

1) Register for a District Event;

2) message to all members (governor's newsletter availalble);

3) message to club officers (e.g. Club Presidents, Presidents-elect, Secretaries, etc);

5) message to those registered for a district event.
